Case statuses and their meaning

Understanding Case Statuses

As you navigate your dashboard, the case status tells you exactly where your customer is in the onboarding process. This helps you identify which cases are on track and which ones might need your attention.

Status Definitions

Below is an overview of the different statuses you will encounter in Uniify:

Status

Description

Created

The case has been created in the system, but the invitation has not yet been sent to the customer.

Draft

Used for cases with multiple entities. The case is being prepared, but the customer has not been invited yet.

Opened

The customer has received the invitation and opened the link but has not started the flow yet.

In progress

The customer is currently filling out information. For multiple entities, it means at least one party has started.

Pending

The case is waiting for verification or a specific action from a key entity (often used in complex cases).

Signed

All parties have signed, but the system is awaiting data from a third-party integration.

Completed

All necessary information and documents have been collected, and the customer’s part is finished.

Approved

The case has been manually reviewed and marked as approved by a team member.

Declined

The case has been manually marked as declined internally.

Expired

The case has closed because the deadline for completion has passed. An expired case cannot be reactivated.

Failed

An error occurred that prevented the flow from completing correctly.

Archieved

The case has been moved to your archives for future reference and no longer appears in your active list.

Important note on expired cases
Since an expired case cannot be reactivated, you must create a new case for the customer if they still need to complete the flow. You can adjust the expiration period for future cases in your settings.
